CWS-CARES Scheduled Maintenance June 2, 2019 07:30PM – 09:30PM - UPDATE

To: All SPOC’s and Technical Contacts:

The CWS-CARES team has scheduled maintenance to the CWS-CARES application. The maintenance is scheduled for Sunday, June 2, 2019 from 07:30PM to 09:30PM. During this scheduled maintenance the CWS-CARES team will focus on application maintenance changes. During the maintenance window, CWS-CARES will be available to users. However, Client search won't work while accessing Intake (Snapshot) and CANS. Users will see an error message as banner " Something went wrong, sorry! Please try your last action again."

Action Required

The CWS-CARES team has scheduled maintenance to the CWS-CARES application. The maintenance is scheduled for Sunday, May 26, 2019 from 07:30 PM to 09:30 PM. During this scheduled maintenance CANS and Snapshot client search functionality will not be available.

Requirements Traceability Matrix

To all SPOC’s, Probation and Technical Contacts:

In November of 2015, the CWS-CARES Project embraced an agile approach to software design and development rather than procuring a monolithic, one-time solution.

As a condition of approval for the change in approach, the California Department of Technology required the Project to trace the development requirements which were originally published in the Request for Proposal (RFP), Child Welfare Services – New System, v7.5, Appendix D, Dated November 20, 2015.

On April 4, 2019, the RFP v7.5 requirements were imported into the Projects Jira Application, the current software tool used to track and manage development work. Jira allowed for CWDS staff to incorporate relevant requirements (known as User Stories) into the appropriate development backlog.

You can view the RFP v7.5, Appendix D on the CWDS website. In addition, you will find several Excel spreadsheets detailing the requirement status, RFP ID number and the Jira Issue number, which will be updated quarterly.

The CWS-CARES team has scheduled maintenance to the CWS-CARES application. The maintenance is scheduled for Thursday, May 16, 2019 from 05:00PM to 08:30PM. During this scheduled maintenance the CWS-CARES team will focus on application maintenance changes that are not visible to CWS-CARES users. There will be no access to the CWS-CARES application during the maintenance window.

The CWS-CARES team has scheduled maintenance to the CWS-CARES application. The maintenance is scheduled for Saturday, May 11, 2019 from 09:00 AM to 01:00 PM. During this scheduled maintenance the CWS-CARES team will focus on application maintenance changes that are not visible to CWS-CARES users. There will be no access to the CWS-CARES application during the maintenance window.

California Department of Technology Service Desk Bulletin – CGEN Vendor AT&T Scheduled Maintenance Sunday, May 5, 2019| 12:00 AM to 5:00 AM

To the CWS/CMS SPOCs and Technical Contacts in Tulare, Santa Clara and Monterey Counties:

The California Department of Technology (CDT) has scheduled maintenance on Sunday, May 5, 2019, beginning at 12:00 AM and concluding at 5:00 AM. Users at the listed site may experience multiple interruptions in connectivity, ranging between three to ten minutes each, to CWS/CMS and CWS-CARES within the scheduled Preventative Maintenance (PM) window.

Remote access (e.g., Server Based Computing [SBC]) to the CWS/CMS application will not be impacted by this scheduled maintenance.

CWS-CARES Client Search Issue

To all Core County Users:

CWS-CARES is experiencing issues with respect to searching for clients in CANS and Snapshot. As of 7:48am this morning, April 29, 2019 CWS- CARES is no longer receiving updates from CWS/CMS to client search records. This impacts CANS and Snapshot client search functionality only.

CARES users can continue to use CANS assessment feature for those clients that they have already begun assessments. However, starting any new assessment should not be initiated for any new clients due to this issue.

Action Required

CWS-CARES users are advised to not use the CANS and Snapshot client search functionality until the issue has been resolved.

CWS-CARES 2.3 Release - Facility Search & Profile and Identity Management (IDM) April 27, 2019 – UPDATE

To all SPOC’s and Technical Contacts:

The scheduled outage time for CWS-CARES this Saturday has been extended. In support of the CWS/CMS Release 8.6, the CWS-CARES team has scheduled an outage that will interrupt connectivity to the CWS-CARES on Saturday, April 27, 2019, beginning at 5:00 AM and concluding at 1:00 PM. During the scheduled outage users will not be able to access the CWS-CARES application.

The CWS-CARES team has scheduled release activity that will interrupt connectivity to the CWS-CARES application. The release activity will begin at 09:00AM on April 27, 2019 and conclude at 11:00AM. During this scheduled outage users will not be able to access the CWS-CARES application.

RELEASE DESCRIPTION

CWS-CARES 2.3 is scheduled for release to all CARES users on Saturday, April 27, 2019. The CWS-CARES 2.3 release will include enhancements to Facility Search & Profile and Identity Management (IDM). The CWS-CARES 2.3 Release Notes describes the details of this release. In addition, there are interim processes for system features not working as designed and known bugs. Counties can access the CWS-CARES Release Notes and Interim Processes for CWS-CARES 2.3 on the CWDS website at https://cwds.ca.gov/release_notes.

  • Displays the total number of search results returned based on the search criteria entered.
  • FFH Applications are now displaying with the proper status from CWS/CMS
  • Labels have been updated to be consistent with Resource Family Application (RFA) terminology

Secure Login Updates

  • New User Registration Email Updates
  • Enable buttons once a user completes the CWS-CARES Login required fields
  • New MFA Code automatically sent to user after 3 failed attempts to enter MFA Code or MFA Code expires
  • New CAPS Lock warning message displays when applicable
  • New MFA Code Countdown clock displays

Manage Users Portal Updates

  • Ability to edit a user’s email address
  • New Phone Number field added to User Profile page
  • Unlock a user’s CWS-CARES account when user locked out due to failed login
  • User’s CWS/CMS privileges display on User Profile page
  • New free form text field, Notes, added on the User Profile page
  • Read-only change logs are created for a variety of user account updates performed by Administrators
  • Variety of messages display based on actions the administrator is taking
  • Global Administrators privileges have been added to allow Global Administrators to perform work CWS-CARES user roles and/or permissions
