CARES Release 0.6 Production Release – September 21, 2022 | 5:00 PM – 11:00 PM

EFFECTIVE SEPTEMBER 21, 2022, CARES RELEASE 0.6 PRODUCTION RELEASE IS PLANNED TO MOVE INTO PRODUCTION
The CARES team has scheduled release activity that will interrupt connectivity to the CARES Resource Family Approval (RFA) Application Submission, Review, and Approval Process for pilot counties Contra Costa, Fresno, Placer, Riverside, and Santa Clara. The release activity is planned to begin at 5:00 PM on September 21, 2022, and conclude at 11:00 PM. During this scheduled outage, users in pilot counties will not be able to access the CARES RFA application.

CARES Release 0.6:
The purpose of this release is to improve the performance of the CARES RFA process with the addition of new reports and functional enhancements to RFA features.

CWDS is excited to share the new RFA features that are planned to be available on September 21, 2022, to the CARES-RFA Pilot County users. These new features are derived from user feedback as well as project planned enhancements.  

As a resource to pilot counties, over the next few weeks, your organization can expect to receive information regarding a Webinar along with an updated Participant and Quick Reference Guide. These resources will provide the system users with details of the features/functionality that have been added since the last production release. 

RFA Application Process:
The RFA Application process is the Receipt, Record, Submission, and Assignment of an Application. The RFA Application process was selected as the first software build for CARES. CARES will ultimately replace the legacy Child Welfare System CWS/CMS. The RFA Application Process will operate in a totally new Production Environment without integrating with other legacy systems such as the CWS/CMS and CARES-Live applications.

RFA Application Process Features:
  • Allows an applicant or County staff member to initiate an emergency or standard application to become a resource family home
  • Creates a facility profile that tracks required information to complete this process, including background check results, completion of orientation and training hours, physical home assessment, and family evaluation
  • Aggregates information into a report to recommend approval or disapproval of a resource family application

CARES-Live 2.8.19 Production Release – June 23, 2022| 6:00 PM – 9:00 PM

EFFECTIVE JUNE 23, 2022, CARES-Live 2.8.19 RELEASE IS SCHEDULED TO MOVE INTO PRODUCTION.
The CARES-Live team has scheduled release activity that will interrupt connectivity to the CARES-Live application. The release activity will begin at 6:00 PM on Thursday, June 23, 2022, and conclude at 9:00 PM. During this scheduled outage, users will not be able to access the CARES-Live application.
CARES-Live 2.8.19:
CARES-Live
  • CARES-Live will implement the OSI mandated 15-character password requirement. Users will be required to create a 15-character password upon their first password expiration after go-live.
CANS
  • The CANS dashboard will be updated to enable the CANS display of the supervisor dashboard to occur more quickly.
Action Required

The purpose of this release is to improve the performance of the CARES RFA process with the addition of four (4) RFA Key Performance Indicators (KPI) Measurement dashboard enhancements and functional enhancements to RFA features.

CWS-CARES V0.4 Production Release – May 18, 2022 5:00 PM – May 19, 2022 5:00 AM

EFFECTIVE MAY 18, 2022, CARES RELEASE V0.4 PRODUCTION RELEASE IS PLANNED TO MOVE INTO PRODUCTION
The CWS-CARES team has scheduled release activity that will interrupt connectivity to the CWS-CARES Resource Family Approval (RFA) Application Submission, Review, and Approval Process for pilot counties Contra Costa, Fresno, Placer, Riverside, and Santa Clara.  The release activity is planned to begin at 5:00 PM on May 18, 2022, and conclude at 5:00 AM on May 19, 2022.  During this scheduled outage, users in pilot counties will not be able to access the CWS CARES RFA application.
CWS-CARES 0.4:
The purpose of this release is to improve the performance of the CARES RFA process with the addition of two (2) RFA Key Performance Indicators (KPI) Measurement dashboards and enhancements to RFA features.
RFA KPI Measurements Dashboard
Access has been provided to two (2) new RFA KPI Measurement dashboards:
  1. Time to approve a standard exemption
  2. Time to approve a simplified exemption
These dashboards can be accessed through the RFA KPI Reports hyperlinks on the home page.  The dashboard includes a link to additional information regarding the methodology to calculate metrics in the dashboards.
Enhancements
The following enhancements (including those recommended by Pilot County user feedback) will be implemented with this release:
  • Application Overview – Progress boxes will display for training, background checks, and assessments.
  • Application Submission – Progress indicator bars have been added and display the completion progress of the hard copy application submission.
  • Application/Relation “Other (specify)” text field – Special Characters and text over 15 characters are now allowed.
  • Help Link – A Service Desk static page for the Help link' CWS-CARES Service Desk' has been added.
  • Save – Users now have the ability to save an application that is In-Progress.
  • Background Check – The ability to delete erroneously created Background Checks has been added.
  • Documents – The ability to delete documents.
  • Relationship to Applicant – The option of “not listed” has been added.
  • County of Jurisdiction – This field will no longer be mandatory.
  • Application/Child Desired section – A response is no longer mandatory for the question “Has child or NMD been identified, Is child or NMD currently in your home.”
  • Application – The following fields are no longer mandatory when creating an application –
    • Address
    • City
    • Zip Code
    • Phone Number
  • Gender – “Not Provided” has been added as an option.
  • References Page – Reference information fields now display in logical order.
  • Licensing History – Licensing history is now required for secondary applicants.
  • Validation error – A validation error will display if an RFA Worker, Clerical Worker or RFA Supervisor enters a date of birth for a minor child that makes that child an adult over the age of 18.
  • Currently Married field – Details will collapse if they do not apply.
  • Application – ‘N/A’ has been added as an option for the question ‘Do you Own, Rent, or Lease? (SE-54).
  • Background Check – Background Check will be “Cleared” before submitting for approval.
  • Application – Default answers pre-selected as "No" will be removed, and the required field in the foster care info tab will remain on application submission.
  • Background Check – CLETS will be added as an option.
  • Education – Highest Level of Education will no longer be a required field.
  • Activity Tab and Background Check – DOB will no longer be a required field.
  • Income – This field will now auto-format as income is entered.
  • Phone number – All phone number fields now allow proper formatting (XXX) XXX-XXXX.
  • Names – This field will now accept special characters to hyphenate names.

CWS-CARES Hot Fix v0.3.2 Production Release - Planned March 23, 2022| 5:00 PM - 7:00 PM

All Pilot County RFA Implementation Coordinators and SPOCs:
Effective March 23, 2022, CARES Hot Fix Production Release v0.3.2 is planned to move into production.
The CWS-CARES team has scheduled release activity that will interrupt connectivity to the CWS-CARES Resource Family Approval (RFA) Application Submission, Review, and Approval Process for pilot counties Contra Costa, Fresno, Placer, Riverside, and Santa Clara. The release activity is planned to begin at 5:00 PM on March 23, 2022, and conclude at 7:00 PM. During this scheduled outage, users in pilot counties will not be able to access the CWS-CARES RFA application.
CWS-CARES Release v0.3.2
The purpose of this hot fix release is to provide a feature enhancement, fix a bug, and make an accessibility change to improve visibility within the application.
Feature Enhancements:
  • Applicant can view home assessment status
  • Primary Applicant must be able to receive an email and/or an event via the applicant portal for each family evaluation interview
Defect Fix:
  • Component Error when trying to upload a document
Accessibility Change:
  • Label of the login button on the login page of the applicant portal is not visible clearly

CARES-Live 2.8.18 Production Release – March 24, 2022| 6:00 PM – 9:00 PM

EFFECTIVE March 24, 2022, CARES-Live 2.8.18 RELEASE IS SCHEDULED TO MOVE INTO PRODUCTION.
The CARES-Live team has scheduled release activity that will interrupt connectivity to the CARES-Live application. The release activity will begin at 6:00 PM on Thursday, March 24, 2022, and conclude at 9:00 PM. During this scheduled outage, users will not be able to access the CARES-Live application.
CARES-Live 2.8.18:
CARES-Live
  • All references to 'CARES' in the application, including emails and PDF documents, are being updated to ‘CARES-Live’.
Identity Management
  • The report that displays the counts of CARES-Live users under the Global Admin user is being updated to more accurately display the numbers presented.
CANS
  • The CANS dashboard is being updated to correctly display that a CANS assessment is only past due when the assessment date of an open/active Case or Referral is more than 6 months after the last completed assessment for the same open Case or Referral.

New Features:
  • Key Performance Indicators Dashboard –

    • The Portal functionality will include allowing RFA applicants the following:  
      • Users can view the status of their applications online  
      • Users can receive alerts of upcoming events in the application review process  
      • Users can receive and respond to tasks assigned to them in the review process  
      • Users can upload additional files as needed  
      • Email templates have been established per policy; emails can be sent about the application  
      • Applicants can see when Training and Orientation have been scheduled 
      • Users can view the status of Home Assessments  
      • My Applications – View the status of their applications  
      • My Task – Receive and respond to tasks, Upload files  
      • My Events – Receive alerts of upcoming events (emails with updates)  
      • My Assessments – Can view their Home Assessments  
      • My Trainings – Can see their training and orientation 
Enhancements: 
  • Log – The Activity section on the Activity tab has been updated to remove the Due Date field and make the Completed Date field mandatory. 
  • Detail Tab – The Family Evaluation Completion will be checked automatically when the status is marked ‘complete’. 
  • Driver’s License – Field is no longer mandatory. 
  • Background Screening – The System will not allow the entry of a received date prior to a requested date. 
  • Special Character Field Format - Special characters such as periods (.) and the pound/number/hashtag character (#) on mailing, home address field, and applicant name fields are now allowed. 
  • LOV Field Values – The following LOV Field Values have been added: 
    • Background Check Result - “Hit, no exemption needed” now available for selection 
    • Application Residence - Do you own, rent, or lease? - “N/A” now available for selection 
    • Selection of “Other” in any ‘Relationship to Applicant’ field will open a text box and allow a response to be entered 
  • Home Assessment Completion The Home Assessment Completion checkbox in the Assessment subsection of the Application Details Page will be checked if home ‘Meets Standards.’ 
  • Page Layout – The following page layout header and Income field modifications have been made: 
    • The Application Overview header (top bar) now includes the primary applicant’s name in line with the application type and owner name. 
    • The Income fields will be automatically formatted as a user enters numeric values and decimal places. 
  • Race/Ethnicity Multiple selections will be allowed. 
  • Background Check Creation Automation 
    • When the application is initially created via hard copy or application status is moved to received (only first time), background check summary records are autogenerated for all applicants All other adults listed on the application are linked to the person record. 
    • When the application status is moved to probationary or pending (only first time), individual background check records are autogenerated for all applicants and all other adults for all background check types - DMV, AARS, FBI, LIS, DOJ, CACI, CWS/CMS, Megan’s Law, and Adam Walsh. 
Defect Fixes: 
  • Location Field – The issue that caused the Location field to not display on the Events details page has been resolved. 
  • Reminder – The issue that caused the applicant to not get a reminder on an event that was created with a reminder has been resolved. 
  • RFA Number – The RFA number has been updated to no longer allow edits by a user. 
  • Applicant General Information Screen – Tab order has been corrected. 
Special Notice:  

The CWS-CARES team will coordinate with the CWS-CARES RFA Application Process Implementation Coordinator for each Pilot County to schedule an overview session to review the functionality included in this Release. Quick Guides will be provided as reference material for this Release.  
With the Release of CARES V0.3, the Pilot Counties can begin using the Applicant Portal. The overview session will provide all RFA pilot users with information about the Applicant Portal. In addition, an Information Sheet will be distributed for use by Applicants as they begin to use the Applicant Portal.

Contra Costa, Placer and Riverside Counties Given Access to CWS-CARES Production Release – February 22, 2022| 7:00 AM

As of 7:00 AM on February 22, 2022, Release 0.2 of the Resource Family Approval (RFA) Application Submission, Review, and Approval Process has been made available in the CWS-CARES Production Environment for pilot counties Contra Costa, Placer, and Riverside, in addition to Fresno, and Santa Clara.
CWS-CARES 0.2:
The purpose of this release is to improve the performance of the CARES RFA process with the addition of Key Performance Indicators (KPI) Measurement dashboards and enhancements to RFA features.
Reporting and Metrics
Hyperlinks from the home page will be added to the RFA KPI Dashboards.

Santa Clara County Given Access to CWS-CARES Production Release – February 14, 2022| 7:00 AM

As of 7:00 AM on February 14, 2022, Release 0.2 of the Resource Family Approval (RFA) Application Submission, Review, and Approval Process has been made available in the CWS-CARES Production Environment for pilot county Santa Clara, in addition to Fresno county.
CWS-CARES 0.2:
The purpose of this release is to improve the performance of the CARES RFA process with the addition of Key Performance Indicators (KPI) Measurement dashboards and enhancements to RFA features.
Reporting and Metrics
Hyperlinks from the home page will be added to the RFA KPI Dashboards.
Key Performance Indicators Dashboard
Access to two (2) RFA KPI Measurement dashboards will be provided -  
  1. Application Approval Time Dashboard
  2. Time to Complete Training and Orientation Dashboard
Dashboards can be accessed through the RFA KPI Reports hyperlinks on the Home Page.  The Dashboard includes a link to additional information regarding methodology to calculate metrics in the dashboards.
RFA Application Process:
The RFA Application process is the Receipt, Record, Submission, and Assignment of an Application. The RFA Application process was selected as the first software build for the CWS-CARES. CWS-CARES will ultimately replace the legacy Child Welfare System CWS/CMS. The RFA Application Process will operate in a totally new Production Environment without integrating with other legacy systems such as the CWS/CMS and CARES-Live applications.

  • Allows an applicant or County staff member to initiate an emergency or standard application to become a resource family home
