CWS-CARES 2.6 Release -Coming Soon to all Organizations

To all CDSS, County, Probation, Karuk, and Yurok Directors/Chiefs, SPOCS, Technical and Training Contacts:

The CWDS Project is excited to announce the upcoming statewide release of CWS-CARES 2.6 (hereafter referred to as CARES 2.6). On September 7, 2019 CARES 2.6 was first made available to a small group of Intake Core Constituent users who have been working with the Intake Digital Service. CARES 2.6 will be available to all statewide users gradually over a period of time in the Fall 2019. The CARES 2.6 release includes enhancements to the Child Welfare History Snapshot (hereafter referred to as Snapshot) functionality. For details about Snapshot, reference the CARES 2.6 Release Notes on the CWDS website at https://cwds.ca.gov/release_notes.


The CWDS Implementation Team will support the state, counties, and tribes prepare for the statewide rollout of CARES 2.6. As part of implementation readiness activities to support Snapshot statewide rollout, the CWDS Implementation Team has been in contact with all of the organizations to capture user data. We have asked all organizations to provide a list of Snapshot users or to confirm the existing list of users we had to date. We encourage all organizations to provide or confirm the list of user data (if they haven't already), as this data will be used to identify a phased statewide implementation rollout. The user data is important as CWDS wants to ensure we can adequately support the number of users for each phase of the statewide rollout. We will support organizations with implementation efforts, we will provide training material and Organizational Change Management materials. The CWDS Service Desk will provide support as needed. Additionally, user data organizations provide will be utilized to grant users access to Snapshot via an internal CARES bulk load process. Specific dates and more information are forthcoming as we support your organization’s rollout of CARES 2.6.

CARES 2.6 Release – Child Welfare History Snapshot | September 07, 2019, 06:00AM – 10:00AM

EFFECTIVE SEPTEMBER 07, 2019 CWS-CARES 2.6 PRODUCTION RELEASE IS SCHEDULED TO MOVE INTO PRODUCTION.

The CWS-CARES team has scheduled release activity that will interrupt connectivity to the CWS-CARES application. The release activity will begin at 06:00AM on September 07, 2019 and conclude at 10:00AM. During this scheduled outage users will not be able to access the CWS-CARES application.

Release Description

CWS-CARES 2.6 release is scheduled for release to the Intake Core Constituent Representative user group on Saturday, September 07, 2019. The CWS-CARES 2.6 release will focus on:

  • Restoring Snapshot functionality to the Core Counties. The functionality allows users to attach information regarding related clients. Additionally, users can now search using multiple search criteria rather than a single search bar to allow more refined results.
  • Additional non-user functionality – CARES Snapshot will be able to capture User Trace Log Files which will provide a report regarding user actions in Child Welfare History Snapshot and can be generated at the request of a County Director. The procedure to request and receive a User Trace Log will be provided at a later date.

Child Welfare History Snapshot

Enhancements

  • Left Navigation Menu that allows a CARES user to navigate to the following Cards:
    • Client (expands as the user adds clients to the view)
    • Relationship
    • History
  • Attach link functionality to Relationship Card:
    • Attach related clients to the current view of the person profile page.
    • See related client’s relationships and history on the same page without the need to search on each client individually.
    • Attach link will display next to client’s name in the Relationships Card.
    • Users will be able to attach relationships based on permissions granted by their county.
  • Remove link functionality to Relationship Card:
    • Allows user to remove the view of attached related persons from the person profile page.
    • Remove Link will display on the top right-hand corner of the Person Card.
  • User Trace Log Files:
    • Enables Snapshot to track user actions, such what the user searched for and which person card was accessed. This will have no impact on user interaction.

CARES 2.5 Release – Facility Search and Profile, Identity Management (IDM) and Child Welfare History Snapshot July 20, 2019, 04:45AM – 10:00PM UPDATE

EFFECTIVE JULY 20, 2019 CWS-CARES PRODUCTION RELEASE IS SCHEDULED TO MOVE INTO PRODUCTION.

The CWS-CARES team has scheduled release activity that will interrupt connectivity to the CWS-CARES application. The release activity will begin at 04:45AM on July 20, 2019 and conclude at 10:00PM. During this scheduled outage users will not be able to access the CWS-CARES application.

Release Description

CWS-CARES 2.5 is scheduled for release to all CARES users on Saturday, July 20, 2019. The CWS-CARES 2.5 release will include enhancements to Facility Search and Profile, Identity Management (IDM), and Child Welfare History Snapshot. Snapshot will be released only to the Intake Core Constituents. The CWS-CARES 2.5 Release Notes describes the details of the release. Counties can access the CWS-CARES Release Notes for CWS-CARES 2.5 on the CWDS website at https://cwds.ca.gov/release_notes.

Implementation Portal

All CWS-CARES 2.5 Training Job Aids related specifically to this release will be available on the CARES Implementation Portal by close of business on Friday, July 19, 2019. The remaining CWS-CARES 2.5 training materials will be posted to the CARES Implementation Portal soon.   1. Facility Search and Profile

Enhancements

  • New License Status types are being added to CWS/CMS with the implementation of SCR 8749, Release 8.7. In support of that change the following License Status Options will be added to the CARES Facility Search and Profile tool. This change will ensure that users can view facilities designated with the new type in both CWS/CMS and the CARES Facility Search and Profile tool.
    • RFA Ceased
    • RFA Forfeited
    • RFA Rescinded
    • RFA Surrendered
    • RFA Withdrawal will be renamed to RFA Withdrawn

Note: The License Status will be considered inactive for all new values (no placement allowed).

  • The BLANK option in County Type Search Criteria has been updated to say All Counties as an indication that you are performing a search statewide.
  • Issue that resulted in Approval and Licensing working information showing N/A in the search results but being seen in the actual profile view for LIS facilities has been resolved.
  • County License Effective Date will now properly display for County Licensed facilities.
  1. Identity Management (IDM)

Enhancements

  • Change Log -
    • Administrators have access to a user’s profile from within the change log.
    • Account lockouts will be recorded in the change log.
    • All phone number changes are recorded in the change log.
  • Search –
    • Administrators can now search by first name, last name, email address, CWS/CMS login or any combination of these fields.
    • Search Results will show EXACT and/or SIMILAR matches.
    • Search must be performed before Create A New User option is available.
    • Clear button has been added to start new search.
  • Quick Filter Reports –
    • Administrators will have a quick count of users in the following areas: active users, locked users, inactive users, unregistered users.
    • Administrators can access users for the above-mentioned areas.
  • Edit Cell Phone Number –
    • Administrators can edit cell phone numbers.
    • Cell phone numbers are not required in order to create/save a user.
  • Unlock Users –
    • Administrator can view and unlock users from the search results screen.
    • Administrator can unlock user from the quick filter list view.
  • Additional Fixes –
    • Allow County Admin to edit other County Admins
    • Allow Office Admin to edit other Office Admins
    • Default list of users is no longer presented to administrator when they first access the Manager User application.
    • Application no longer displays error message for phone or email fields while editing. If there are errors in the format, admins will be notified during the save process.
  1. Child Welfare History Snapshot (Released to the Intake Core Constituents only)

New Features

  • New Search fields were created to search for clients with any combination of:
    • First and Last Name (last name must have one character entered to initiate search)
    • DOB or Approximate Age
    • Social Security Number
    • Client ID Number

Note: A value must be entered in one of the four fields above to enable the search button. A search can be initiated exclusively by entering either the Social Security or Client ID number.

  • The following Additional Search fields have been added –
    • Suffix
    • Sex at Birth
  • The capability to filter by County of Service Provider has been added.
  • The capability to sort search results by clicking on the corresponding columns.
  • Wildcard Search –

Search for clients using wildcard characters is available when unsure of the exact spelling of proper names.

    • Wildcard searches must always end with the percent (%) character. The string can be placed anywhere in the name. Unknown characters in the name can be substituted with the underscore (_) character.
    • Some examples:
      • T_m% returns Tim, Tom, Tam, Tum, and Tem
      • B%c% returns Brick, Bloch, Bianca, etc.
      • W__d% returns Wend, Word, Wand, Wild, etc.

Enhancements

  • Search results now display in a grid view. Including the following fields:
    • Name
    • Date of Birth
    • Sex at Birth
    • County Service Provider
    • Phone Number
    • Client Address
    • Case Status
  • Snapshot Search –
    • Instructional text included on how to use certain features is now available by clicking on the information icon and/or by clicking on the How to Use Snapshot link.
    • A new search can be completed by using the Clear button to begin a new search.
  • Search Results –
    • Maximum number of results displayed for a search is now 250 records. If the search criteria match results in more than 250 results, the system will now show you the first 250 as the best match and display an alert requesting the user to refine the search.
    • Search results now include the client’s AKA in parenthesis displayed next to the name.
    • Sensitive and Sealed icons display in the search results grid next to the client’s name.
    • Columns can be expanded by dragging the margins to reveal the full contents.
    • The ability to retain search results are available when viewing the person card. The bread crumb link “Search Results” allows users to go back to the search and click on another client.
    • The Attach functionality from the Relationship Card has been removed.
    • Left navigation links on the person summary has been removed. The data for the person summary remains the same.
  • Search results latency has been considerably improved. Any changes to CWS/CMS data is available in Snapshot within 10 seconds or less 98.71% of the time.

CWS-CARES Release 2.4 Child and Adolescent Needs And Strengths (CANS), and Facility Search & Profile June 01, 2019 – UPDATED

UPDATE – The scheduled CWS-CARES 2.4 release activity has been successfully deployed.

The CWS-CARES Service Desk reported on Saturday, June 1, 2019 that some users may experience issues logging into CARES through Multi-Factor Authentication (MFA). The issue with MFA has been resolved and is not expected to impact CWS-CARES users.

The CWS-CARES team has scheduled release activity that will begin at 09:00AM on June 01, 2019. There is no downtown associated with this release and users will be able to access the CWS-CARES application during the update.

Release Description

CWS-CARES 2.4 is scheduled for release to all CARES users on Saturday, June 01, 2019. The CWS-CARES 2.4 release will include enhancements to Child and Adolescent Needs and Strengths (CANS) and Facility Search & Profile. The CWS-CARES 2.4 Release Notes describes the details of this release. In addition, there are Interim Processes for system features not working as designed and known bugs. Implementation-Portal

CWS-CARES Release 2.4 will include the following:

  1. Child and Adolescent Needs and Strengths Assessment (CANS) 2.0

New Features

  • CANS reassessment feature - allows a user the ability to populate a reassessment with ratings from a prior completed assessment. This aims to eliminate duplicate data entry and to reduce the amount of time spent entering assessment data.
  • The compare previous assessment over time feature provides a historical comparison of client assessment ratings. Users can see an at-a-glance view of a client’s assessment ratings overtime. Users can easily and quickly view client progress. This information informs client case plans.
  • CANS print enhancements - are based on user feedback and aim to improve the user experience. Workers can confidently take the printed assessment information into a meeting with clients and other workers. The printed assessment form is designed to be easy to read and user friendly.
  • Pop up modals - are triggered by certain actions, allowing users an opportunity to save data before taking actions that may cause data loss. This aims to improve the user experience and prevent potential data loss. Pop up modals are displayed if user makes changes to the assessment, hasn’t saved the changes, and attempts to navigate away from the assessment using the CANS breadcrumbs, browser back button, browser forward button, CANS print button, CANS change log button, or keyboard shortcuts to navigate away.

Enhancements

  • The staff list on the supervisor dashboard will include names that are clickable/non-clickable. Staff without clients assigned to them are not clickable.
  • An assessment status icon is included with each assessment listed on the client’s assessment history list.
  • Message referring to the redaction of Substance Use Disorder (SUD) items changes based on the age template selected by the user. This prevents confusion regarding what items could be redacted when printed and which items belong to each template.
  • The Childs age and DOB were added to the assessment header.
  • The ability to enter the first and last name of the person that conducted the assessment and utilize a drop down to select the person role (e.g. CFT Facilitator, Child Welfare Worker, Mental Health, Community Based Agency, Other, Unknown).
  • Client’s AKA will be included in CANS search results.
  • All chevrons to expand or collapse domains and items have been moved to the left where all chevrons are located.
  • Domain headers are expanded once user expands a domain
  • A button added to the bottom of the expanded item, creating the ability to close and expanded item.
  • A comment icon will only appear if there is a comment.
  • Assessments can on be deleted when user provides a delete reason using a dropdown list. This reduces time spent typing a deleted reason manually. The comment field on the CANS change log captures the delete reason.
  • The View Change log link is available on the assessment.
  • Ability to generate summary card before completion.
  • Arrow in bottom left corner of screen to easily return to the top of the screen.
  1. Facility Search & Profile 1.2.2
  • Facility Search functionality will be returned to CWS-CARES users. This restoration of Facility Search functionality will be returned without showing complaint information for homes/facilities. The project continues to work on resolving issues around showing complaint information and will provide updates as new information becomes available.

CWS-CARES 2.2.4 Production Release Facility Search and Profile 1.1.4 Hotfix, March 30, 2019| 06:00 AM – 04:00 PM

EFFECTIVE MARCH 30, 2019 CWS-CARES 2.2.4 PRODUCTION RELEASE IS SCHEDULED TO MOVE INTO PRODUCTION.

The CWS-CARES team has scheduled release activity that will interrupt connectivity to the CWS-CARES application. The release activity will begin at 06:00 AM on Saturday, March 30, 2019 and conclude at 04:00PM. During this scheduled outage users will not be able to access the CWS-CARES application.

CWS-CARES 2.2.4 Hotfix:

Facility Search and Profile Release 1.1.4

  • Improve incremental loading of data from LIS and CWS/CMS to CWS-CARES
    • The incremental loading of data from legacy systems into CWS-CARES would occasionally hang. This means that updates from CWS/CMS were not seen in CWS-CARES applications, such as Facility Search & Profile and Identity Management, as quickly as expected.

CWS-CARES 2.2.3 Production Release (CANS Client Search)| Hotfix 09:00 AM - 12:00 PM

EFFECTIVE MARCH 16, 2019 CWS-CARES 2.2.3 PRODUCTION RELEASE IS SCHEDULED TO MOVE INTO PRODUCTION. 
 
The CWS-CARES team has scheduled release activity that will interrupt connectivity to the CWS-CARES application. The release activity will begin at 09:00AM on Saturday, March 16, 2019 and conclude at 12:00PM. During this scheduled outage users will not be able to access the CWS-CARES application.

CWS-CARES 2.2.3 Hotfixes:

•    Improve the performance time of client search queries.

CWS-CARES 2.2.2 Production Release (Identify Management & Facility Search) Hotfixes 09:00 AM – 12:00 PM

EFFECTIVE MARCH 09, 2019 CWS-CARES 2.2.2 PRODUCTION RELEASE IS SCHEDULED TO MOVE INTO PRODUCTION.

The CWS-CARES team has scheduled release activity that will interrupt connectivity to the CWS-CARES application. The release activity will begin at 09:00 AM on Saturday, March 09, 2019 and conclude at 12:00 PM. During this scheduled outage users will not be able to access the CWS-CARES application.

CWS-CARES 2.2.2 Hotfixes:

County e-mail systems may experience outages or be unavailable for periods of time. When this happens, anyone who hasn't logged into CWS-CARES in the last 24 hours will not receive the Multi-Factor Authentication code and consequently cannot log in to CWS-CARES.

Identity Management Fix (COG-1247)

  • The Multi-Factor Authentication (MFA) code expiration is extended from 24 hours to 168 hours (7 days). After 7 days, when the user logs into CWS-CARES, a new MFA code will automatically be issued via email.
  • The email sent with the MFA code contains a message stating the code is good for up to 7 days.

Facility Search Fix

  • Improve Assigned Worker Mapping between CWS-CARES/License Information System (LIS)/Field Automation System (FAS)
  • Ensure that Licensing Worker/Approval Worker will be displayed in CARES accurately based on workers code found in LIS/FAS
