Frequently Asked Questions

Features & Functionality

Q: Does the CWS-CARES documentation state who can see the 'worker note' comments?

A: Yes, the 'worker note' section is only available to the Admin and Supervisor.

Q: There appear to be inconsistencies in form functionality in both Adobe Experience Manager (AEM) and Word. How is the Project addressing this?

A: The differences between Adobe Experience Manager (AEM) XDP templates and Word templates have been communicated during trainings and office hours. If specific issues are still occurring, counties should provide details so the team can review them.

Q: Will CWS-CARES allow counties to pull table-level data (for example, CASE_T, ADDRS_T, REFERL_T) into their local systems, similar to SAP Business Objects in CWS/CMS?

A: Yes. In CWS-CARES, data extraction will be supported through two primary methods: ad hoc reports using Tableau, and a direct connection to the semantic layer. This approach enables counties to extract the data they need to support their local systems — similar to how counties currently pull table-level data (such as CASE_T, ADDRS_T, and REFERL_T) from SAP Business Objects in CWS/CMS. A data extracts overview demo is planned for an upcoming CWS-CARES Analytics Workgroup meeting.

Q: Will we be able to maintain the workload history if an entire office is relocated?

A: If the office is relocated and the county updates the address workload history, then the workload history should be maintained and remain the same.

Q: Does the suitability assessment auto-populate into the 366.26 Selection and Implementation Hearing court report?

A: The Parent Child Suitability Summary (PCSS) is generated into a separate document that is signed by both the Adoption worker and Adoption Supervisor and does not auto-populate into the 366.26 Selection and Implementation Hearing report. The PCSS is available to the Case Management (CM) Worker in the Assessments section of the Case Management case. The CM worker can then attach it to the 366.26 Selection and Implementation Hearing report.

Q: Will the Project push out the due dates for forms?

A: Due dates for forms remain unchanged. These timelines are set by the Implementation team based on input from multiple project areas. If there are risks or concerns requiring adjustments, those can be shared with the Implementation team.

Q: What is the purpose of the 'age group' section?

A: The age group is available to identify what ages a worker might be best suited to work with, it is not a required field.

Q: Are all the functions of the Binti Family Finding module session (3/26/26) available for CWS-CARES V1 Family Finding functionality?

A: Yes, all the functions of Binti Family Finding are in CWS-CARES V1. Process documentation for CWS-CARES V1 Family Finding functionality is anticipated to be available in the online training tool Enablement, with Production Simulation.

Q: Is there a group at the State level providing feedback on the health section of CWS-CARES?

A: The Case Management team worked with case management constituent counties to gather input on pain points for documenting health and education information in CWS/CMS, and also received documentation from prior public health workgroups. The team is reviewing End User Scenario Testing (EUST) 3 feedback related to the Health and Education Passport (HEP), and all feedback provided during Production Simulation will also be reviewed for inclusion in development.

Q: Can both Supervisors and Administrators transfer caseloads?

A: Yes, Supervisors and Administrators can both transfer caseloads.
