Frequently Asked Questions

Features & Functionality

Q: With CWS-CARES no longer generating User IDs, will SDM and SafeMeasures be modified to accommodate no usernames, or will we be entering emails instead? How will users log into SDM and Safe Measures?

A: CWS-CARES will have a data interface to SDM and SafeMeasures will use the user's email address to connect to these systems.

Q: What CWS-CARES dependencies and rules exist for email addresses?

A: No functionality other than login is driven by email address. We allow all permissions to be controlled with one login, compared to legacy that required multiple logins.

Q: How much of the user profile will convert over from CWS/CMS for existing users?

A: We are converting over everything within the user profile, but because we have added new permissions that work a little differently, those will be updated at the organization-level. This ask has been shared with the Implementation Team to consider next steps.

Q: At what point is the employee number added? Is it during the creation of the profile?

A: Employee number is optional and can be added at creation of a profile or after.

Q: Will we be able to maintain the workload history if an entire office is relocated?

A: If the office is relocated and the county updates the address workload history, then the workload history should be maintained and remain the same.

Q: What type of information should be entered in the 'Additional Information' field on the CWS-CARES Person Profile screen?

A: The 'Additional Information' field allows workers to enter any relevant information they consider pertinent. This field is intentionally open-ended to accommodate individual county practice.

Q: Where in CWS-CARES can workers document a relative's contact history and chosen level of involvement with a child?

A: Family information in the Person Profile screen is documented under the 'Relationships' record found in the left navigation, where you can document familial and professional relationships between two persons. Specific information regarding a relative's involvement with a focus child can be found under Family Finding on Search Efforts within a case.

Q: Our current employee ID is being used as a username that is tied to the SDM and SafeMeasures profiles, which then ties all the referenced formation together. Will those still be tied together in CWS-CARES?

A: Yes, CWS-CWS-CARES data will interface between SDM and SafeMeasures, which will tie the systems together by email addresses of users.

Q: In some systems, Administrators are able to act as another user, so if we change a user's permission set, we can go see what is actually displaying as the users' permissions. Will that be an option in CWS-CARES?

A: No, CWS-CARES does not have that option. During the first phase of testing, administrators will be configuring their offices, units, etc. and will see how the structure is set up. Then, when your actual users are in the system, you'll have a chance to pair up with them and see how the changes you make as an administrator affects their permissions in the system.

Q: Will counties be able to modify state forms as it indicates in the process map?

A: There are some state forms that counties cannot change but there are other state forms that allow counties to download and add certain pieces of information as needed and save it as a county form for their use.
