Forms & Reports
Q: Will counties be able to copy and modify reports created by other counties? If so, when will those reports be available for counties to access and copy?
A: In the CWS-CARES 102 environment, County Report Developers have permission to view reports developed by other counties. However, they do not have the ability to download, copy, or modify these reports because they are not members of the respective county or project folder structures where the reports are stored. Counties will continue to have read-only access to reports developed by other counties.
Reports developed by the project are managed and maintained under the project vendor warranty. For this reason, County Report Developers are not granted permissions to download or modify these reports. All CWS-CARES users will have the ability to run and view available reports as part of the CWS-CARES solution.
Reports are organized within their respective folder structures (such as county-specific folders or project folders), and access permissions are managed accordingly.
Q: Can you upload a document to the competency evaluation? (e.g., if someone is receiving methadone treatment and their provider writes a letter—currently these are saved elsewhere; can they be uploaded?)
A: Yes. In the Adoption case for a relinquishment, users can document whether a competency evaluation is required and, if applicable, provide a narrative explanation. Users can also record details such as the provider name, date received, and decision. Supporting documentation (e.g., a provider letter) can be uploaded in the Documents section under the Adoptions category using the Relinquishment document type.
Q: What are the requirements from the State for entering Child Abuse Central Index (CACI) information and uploading CACI documents in CWS-CARES? Would CWS-CARES need to hold all of the "administrative record," or just those available in CWS-CARES currently, request and notices.
A: Regarding State requirements for entering Child Abuse Central Index (CACI) information in CWS-CARES, there are no requirements from the State for entering that information. In CWS/CMS, there is currently an ID page that includes fields for entering this information if a disposition is changed to a grievance. CWS-CARES will also include these fields.
Q: Will counties have the ability to 'delete' county-created forms from CWS-CARES or do they have to open a ticket with the state to do it? If the counties can't delete the form, will they be able to mark it inactive and will marking it inactive not display the form in the drop-down during forms generation?
A: Counties will not be able to permanently delete county-created forms in CWS-CARES. However, county form authors can mark forms as “Inactive” within the document configuration page. Once a form is marked “Inactive”, it will no longer appear in the dropdown list during form generation.
Q: Why aren't all Juvenile (JV) Forms going to be created by the Project in CWS-CARES?
A: Approximately 145 JV Forms are currently projected to be developed by the Project at this time, based on prioritization decisions made by the Project team. Please note that this list is subject to change as development activities continue.
The full list of forms is maintained in the CARES Forms Tracker, available through the CARES Forms Workgroup Teams Channel. To access the tracker, please email the CWS-CARES Forms Mailbox to request permission. Once granted, users can export the list to Excel and apply filters (e.g., Form Title, Disposition) to view specific form types, including JV forms.
Q: Within documents, is it possible to redact content?
A: Yes, CWS-CARES allows users with the appropriate permissions to redact information in documents such as PDFs, Word files, and Excel files. All redacted documents are saved as PDFs, even if the original file was created in another format.
Redaction can be done in two ways:
- Manual redaction: selecting specific portions of the document to block out.
- Automatic redaction: searching for a word or phrase and redacting all occurrences at once.
Only users with the correct role-based permissions (such as case workers or supervisors) will see the redaction option, and access depends on their role and their access to the case or record.
Q: What is the time frame that CWS-CARES will retain a record of information that has been deleted or modified? For example, if a document such as a Court report is deleted, how far back will CWS-CARES be able to track when it was deleted? Will it be able to identify who performed the action? Will CWS-CARES be able to retrieve the original Court report?
A: Deleted data (including Court Reports) can be retrieved from the Salesforce platform by users for up to 15 days, and you can view details on who deleted it. After 15 days, system administrators can recover deleted data at any time.
Q: Can we get information about the document management tools we will be receiving? From recent CWDS bulletins, we understand counties will be using DocuEdge, but without more technical specifications counties cannot adequately assess impacts to our current imaging\document management systems.
A: CWS-CARES offers a robust set of document-related features including the ability to generate, upload, view, edit, download, print, redact, and merge documents. Appropriate access controls are enforced so that only the users who need to see the documents have access to them.
In CWS-CARES, documents are tied/indexed to key entities such as screenings, referrals, cases, eligibility, court work items, etc. Documents tied to the key entities can be viewed by retrieving the key record first and then pulling up the documents tab to see a list of all documents tied to the record.
Additional context on capabilities:
- Documents are indexed and tied to specific records in CWS-CARES.
- Document indexing uses an extensible and flexible document taxonomy system that is intuitive to use and makes saving, categorizing, and retrieving documents easy.
- Document lists allow sorting by Title, Category, Type, Uploaded By, and Uploaded Date.
- Documents can be viewed and managed directly within the relevant CWS-CARES context, such as screening or a case.
Q: Will CWS-CARES Forms be Americans with Disabilities Act (ADA) compliant? Counties wants to know if CDSS would be providing any guidance regarding ADA compliance guidance/requirements to counties.
A: Yes, State forms developed by the project will be ADA compliant and follow the latest Web Content Accessibility Guidelines (WCAG) and ADA state requirements. Counties are responsible for ADA compliance for their own forms created in CWS-CARES. The Project will not be validating compliance on county created forms.
Q: Will the new CWS-CARES system have a page where you can document the client's civil rights? Specifically, are there fields to document that clients were given the Civil Rights brochure, that it was explained to them, and if interpreter services were required/provided?
A: Yes, the structured investigative contact note (which is in progress) has a place to indicate if the Civil Rights Publication 13 brochure was provided. Preferred spoken and written languages can be documented on the person profile, and the use of an interpreter can be noted. As to if the brochure was “explained” to them, the staff member will need to rely on entering that into their contact note.
