Q: Can we add multiple worker permissions to one user (e.g. Case Management Supervisor and Case Worker together)?
A: Yes, multiple permissions can be assigned to one user.
Q: Is 'clerical' a role when creating CWS-CARES user profiles?
A: CWS-CARES will allow you to create a user who is clerical by your definition, and you can give permission sets for them to do their job. For example, clerical in one county might allow for access to case management, eligibility and adoptions but in another county it's only for case management.
Q: If I am added to the staff authority area of a Unit in CWS/CMS, then I have access to all of the caseloads included in that unit. Will that be the case in CWS-CARES?
A: Yes, you can give users a unit staff authority type of permission in CWS-CARES as well, but they would need to be added to the unit as a backup supervisor. We typically view permissions by case, not caseload.
Q: Will the CWS-CARES Permissions allow counties to limit who can review/edit the Administrative Claim sections?
A: Only users given the county-specific fiscal permissions will have the ability to review their county's admin claim data. All data from CECRIS will be read-only in CWS-CARES so there will not be any user in CWS-CARES that can enter/change data from CECRIS, regardless of permissions.
Q: Is there the ability to copy the access of an existing user?
A: No, there is no ability to copy the access of an existing user to another. Additionally, only Administrators can see what privileges a user has, and only for users who aren’t at or above their same Administrator level.
Q: In CWS-CARES, are permissions and access options multi-select?
A: Yes, these permissions and access options are multi-select.
Q: Is there a possibility that pulling certain reports can be added as a permission so this can be granted to those Supervisors and Managers in the office?
A: At this time, Supervisors and Data Analysts will be able to view all CWS-CARES reports in Tableau. There are other areas of the system that have reports in Salesforce that are only accessible to County Administrators.
Q: Will the 'Inactive Worker with Caseloads' report only be available to County Administrators, or would Supervisors and Managers in that Office be able to pull those reports as well?
A: The “Inactive Worker with Caseloads” report in Salesforce is currently only available to County Administrators through the Action Launcher Section. Managers and Supervisors do not have access to this report. As a note, “Manager” is not used as a permission type. This report isn’t available in Tableau for supervisors unless they learn how to create it.
Q: Will user role configuration be specific to a position or function?
A: Role configuration will be specific to a function. This work will be performed by organizations as part of an activity called role mapping in which security profiles for CWS-CARES will be provided to your organization (through your IC) and your implementation team will have the opportunity to assign profiles based on job responsibilities.
Q: Our testers in Production Simulation cannot access the Placement and Eligibility Module. Do you have any idea why or when we can expect this to be available?
A: Please attend office hours or email your Production Simulation Regional Support Inbox to troubleshoot this issue. Placement and Eligibility should be available. This might be a permissions issue. Office hours and inboxes can be found on the Production Simulation Hub.
