Q: Can County Administrators adjust staff roles themselves to validate that ability in Production Simulation?

A: Yes. This is part of Production Simulation scenarios and business process activities, and County Administrators are encouraged to test different permissions. Note that changes to existing permissions may not carry over to Go-Live, though the Project will carry over as much as possible to minimize duplicate work.

Q: Is there a timeline for phase 1 and phase 2 of onboarding, or does each county determine the length of each phase?

A: Phase 1 is starting in early May. Phase 2 will open after the end of May, once the converted data becomes available, as long as County Administrators are ready. The Project will share more as these dates are finalized.

Q: Will a Virtual Private Network (VPN) be necessary to access CWS-CARES?

A: CWS-CARES will be accessible via supported devices connected to the county network. Connectivity may be through a hard-wired or wireless network connection, or over the internet via a VPN connection as implemented by the county. Users must be authenticated by the county's identity and access management system.

Q: Will user role configuration be specific to a position or function?

A: Role configuration will be specific to a function. This work will be performed by organizations as part of an activity called role mapping in which security profiles for CWS-CARES will be provided to your organization (through your IC) and your implementation team will have the opportunity to assign profiles based on job responsibilities.

Q: Is there the ability to copy the access of an existing user?

A: No, there is no ability to copy the access of an existing user to another. Additionally, only Administrators can see what privileges a user has, and only for users who aren’t at or above their same Administrator level.

Q: Is there a possibility that pulling certain reports can be added as a permission so this can be granted to those Supervisors and Managers in the office?

A: At this time, Supervisors and Data Analysts will be able to view all CWS-CARES reports in Tableau. There are other areas of the system that have reports in Salesforce that are only accessible to County Administrators.

Q: Will the 'Inactive Worker with Caseloads' report only be available to County Administrators, or would Supervisors and Managers in that Office be able to pull those reports as well?

A: The “Inactive Worker with Caseloads” report in Salesforce is currently only available to County Administrators through the Action Launcher Section. Managers and Supervisors do not have access to this report. As a note, “Manager” is not used as a permission type. This report isn’t available in Tableau for supervisors unless they learn how to create it.

Q: Can additional addresses be added to an Office in CWS-CARES?

A: Yes, additional addresses can be added to an office.

Q: Will functionality for creating Offices in CWS-CARES mirror CWS/CMS functionality? Specifically, will an Office require a user account to be attached to it in order for it to be created?

A: Creating an office in CWS-CARES is similar to the process in CWS/CMS. User accounts are then required to be added to a unit within an office. Users aren’t added at the office level unless it’s an assignment desk.

Q: What is the process for administrators transferring a worker from one office and unit to another where the worker will retain their existing caseload?

A: A user must be added to the new unit in the new office and then end dated from the previous office. The bulk transfer process can then be used to move the entire caseload.
