Q: Will data entered during Production Simulation Environment remain after Go-Live or be deleted?
A: Because Production Simulation is used solely for testing and validation, its data will not be moved into the live CWS-CARES Production Environment. There will be periodic refreshes that will delete and update the data with new copies.
Q: Will we be able to see all the information when a case is transferred from Child Welfare to Probation?
A: Yes, all previous child welfare case information and history will be available for the probation worker to access and view.
Q: What Binti modules are approved for CWS-CARES data conversion?
A: The approved Binti modules for CWS-CARES data conversion are as listed below:
- Resource Family Approvals (RFA)
- Placement
- Family Finding
Q: What happens to Binti data that has no place in CWS-CARES?
A: Data mapping sessions determine what does or does not have a place in CWS-CARES.
Most Binti data aligns with CWS-CARES and converts successfully. County-specific or Binti-specific fields are reviewed during mapping, including:
- Administrative fields
- County-specific process fields
- Binti administrative/technical fields
- Data with no CWS-CARES equivalent
Q: What happens when Binti data does not match or cannot be converted during the Binti-to-CWS-CARES data conversion process?
A: In the event that data doesn't match or cannot be converted when migrating to CWS-CARES from Binti, there are two steps:
- Project will share the list of data elements that cannot be moved into CWS-CARES through the conversion process. This includes data with incorrect data types, incorrect picklist values or missing mandatory data element information. If Binti provided information is different from CWS/CMS information, then Binti provided data will be rejected and shared with Counties.
- Counties validate the data. If an issue is found, it becomes a ticket. The Project investigates, fixes the issue, redeploys the data, and counties revalidate.
Q: What is the time frame that CWS-CARES will retain a record of information that has been deleted or modified? For example, if a document such as a Court report is deleted, how far back will CWS-CARES be able to track when it was deleted? Will it be able to identify who performed the action? Will CWS-CARES be able to retrieve the original Court report?
A: Deleted data (including Court Reports) can be retrieved from the Salesforce platform by users for up to 15 days, and you can view details on who deleted it. After 15 days, system administrators can recover deleted data at any time.
Q: Can we get information about the document management tools we will be receiving? From recent CWDS bulletins, we understand counties will be using DocuEdge, but without more technical specifications counties cannot adequately assess impacts to our current imaging\document management systems.
A: CWS-CARES offers a robust set of document-related features including the ability to generate, upload, view, edit, download, print, redact, and merge documents. Appropriate access controls are enforced so that only the users who need to see the documents have access to them.
In CWS-CARES, documents are tied/indexed to key entities such as screenings, referrals, cases, eligibility, court work items, etc. Documents tied to the key entities can be viewed by retrieving the key record first and then pulling up the documents tab to see a list of all documents tied to the record.

- Documents are indexed and tied to specific records in CWS-CARES.
- Document indexing uses an extensible and flexible document taxonomy system that is intuitive to use and makes saving, categorizing, and retrieving documents easy.
- Document lists allow sorting by Title, Category, Type, Uploaded By, and Uploaded Date.
- Documents can be viewed and managed directly within the relevant CWS-CARES context, such as screening or a case.
Q: There are 8 external systems included in CWS-CARES Version 1 (V1): Binti, eAdopt, Foster Care Search System (FCSS), Resource Family Homes, Resource Family Approval System, Simple Notice Application (SNAP), Adoptions Integrated System (AIS), and Electronic Document Management System (EDMS). If a county or organization decides to remove an external system from CWS-CARES V1 data conversion scope, can another external system be considered for the CWS-CARES V1 data conversion?
A: No, if an external system is removed from CWS-CARES V1 data conversion scope, it cannot be replaced with another candidate external system for CWS-CARES V1 data conversion due to scope and schedule constraints.
Q: How will CARES handle data entry for non-Federally recognized tribes?
A: The CWS-CARES Tribal Governments Directory will allow for organizational information for both Federally Recognized and Non-Federally Recognized Tribes to be entered in the system. Organizational information will include Contact Information, Bureau of Indian Affairs (BIA) Region (if applicable), CWS/CMS Tribal Number (if applicable), ability to record if the Tribe is Federally Recognized, whether the Tribe has lands in California or that extend into California, and if it has an IV-E and/or 1919 Agreement. The Directory will also capture whether the tribe provides Tribal Temporary Assistance for Needy Families (TANF) and the Tribal TANF Counties served. Contact person(s) for each tribe will be documented in CWS-CARES. Contact information will include name, title, and role. CWS-CARES will provide the ability to add multiple contact people per tribal organization with different associated roles.
Q: Will CWS-CARES include a field to for an Attorney's State Bar Number (SBN)?
A: Yes, CWS-CARES will include a field for an Attorney's State Bar Number (SBN) on the attorney profile.
