Q: What file types can be uploaded to CWS‑CARES, and how should users handle CSV files when attaching documents to case records?
A: CWS-CARES supports uploading, storing, organizing, and retrieving electronic documents. Users can drag and drop files or attach them directly to CWS-CARES records such as Screenings, Contacts, Cases, and Assessments. Therefore, files can be uploaded and associated with an individual's case record. Currently supported file types are as follows:
- .pdf – Adobe PDF
- .doc/.docx – Microsoft Word
- .xls/.xlsx – Microsoft Excel
- .jpeg/.jpg – Images
- .txt – Text files
- .mov/.mkv/.mp4 – Movie files
Q: When was the Family Finding module added?
A: The Binti Family Finding module was part of the original scope for Binti data conversion, it was not added later on.
Q: Are the data mapping validation sessions cumulative?
A: No, data mapping validation sessions are not cumulative. Each session reviews a specific set of tables, and counties may attend sessions independently.
Q: Is Binti Family Finding functionality part of CWS-CARES scope?
A: Yes, the Binti Family Finding module is in scope and part of CWS-CARES data conversion effort.
Q: Will CWS/CMS data overwrite Binti data?
A: Yes. CWS/CMS is the system of record. If a field already exists in CWS/CMS, Binti data will not override it.
Q: Is the data in the Production Simulation mock data or actual data from Binti and CWS/CMS?
A: The data in Production Simulation will consist of data brought over from Binti and CWS/CMS.
Q: Will data be saved or can users permanently change the data in the Production Simulation environment?
A: No, Production Simulation is a practice environment so the data will not be saved into the permanent case record.
Q: Will Production Simulation include the counties' Binti data?
A: Yes, the Binti data will be included in the Production Simulation environment once the project has loaded, converted the data, and counties have verified the data. However, we do not anticipate Binti data will be available at the beginning of Production Simulation.
Q: How will CWS-CARES match Binti records to CWS/CMS when IDs and names do not align one-to-one?
A: Matching records from Binti to CWS-CARES will rely on external or licensing identifiers rather than names alone. Counties play a role in ensuring those identifiers are populated.
Q: What happens if the external ID needed to link records is missing?
A: If the external ID is missing and the relationship cannot be established, the system may not be able to reliably match records. In these cases, county assistance may be required to resolve gaps.
