Q: How much of the user profile will convert over from CWS/CMS for existing users?
A: We are converting over everything within the user profile, but because we have added new permissions that work a little differently, those will be updated at the organization-level. This ask has been shared with the Implementation Team to consider next steps.
Q: At what point is the employee number added? Is it during the creation of the profile?
A: Employee number is optional and can be added at creation of a profile or after.
Q: Will County Administrators continue to be only set up through the State Administrators, and all other staff can then be set up by County Administrators as they are now for CWS/CMS?
A: Yes, County Administrators will continue to be set up through State Administrators, as is currently the case in CWS/CMS. All other staff can then be set up by County Administrators.
Q: Will we be able to maintain the workload history if an entire office is relocated?
A: If the office is relocated and the county updates the address workload history, then the workload history should be maintained and remain the same.
Q: Is the expectation for approving each Cost Tracking Template submitted by the provider that the worker is checking that the cost details of each transaction are accurate? Or is a more rigorous review expected?
A: Yes, counties will approve cost tracking information that a provider submits. One of the big reasons the Product Team introduced the approval process is to allow counties the opportunity to reject or correct an inaccurate cost that may have been entered by a provider.
Q: Can additional addresses be added to an Office in CWS-CARES?
A: Yes, additional addresses can be added to an office.
Q: What are virtual offices in CWS-CARES?
A: A virtual office refers to an office that does not have a physical location.
Q: How do we identify the County Geographic Region in CWS-CARES?
A: This field is not used by all counties, and it is not required. Those that do use the field would know if they were North, South, East, West, etc.
Q: In CWS-CARES, are permissions and access options multi-select?
A: Yes, these permissions and access options are multi-select.
Q: Will county fiscal departments be flagged that a Family Well Being Plan is ending?
A: Yes, there will be functionality for county fiscal to be notified when a plan is about to end.
