Frequently Asked Questions

Q: Where will the quick guides be located?

A: The quick guides will be located on the CWS-CARES Training Portal and when they are uploaded, their respective links will be sent out in a communication. The Frequently Asked Questions (FAQs) are also located in the same location.

Q: When will the quick guides be available?

A: The first set of quick guides will be available with Production Simulation access. Quick Guides will continue to be added throughout Train-the-Trainer (TTT) and Instructor-Led Training (ILT) as they are approved.

Q:In CWS-CARES, if there are no apps in our dashboard anymore, does that mean that our access was revoked?

A: Users are encouraged to attend office hours to troubleshoot any issues or email their regional support inbox. There is also a training support inbox available if this is in regards to the training environment.

Q: I can see all the currently published enablement programs. How will I know what my learning path is or what my permissions are?

A: The Project has shared information about the Instructor-Led Training (ILT) Course Curriculum that gives an understanding of the content that will be covered in each Train-the-Trainer (TTT)/Instructor-Led Training (ILT) course. Within that document, there is guidance given about the intended audience for those courses and the CWS-CARES permissions that enable the content that would be covered.

Q: As county admins adjust permissions in the training environment, do they need to make separate adjustments there for On-Demand/Instructor-Led Training (ILT) readiness?

A: No — county admins should not be making adjustments in the training environment. Training coordinators/train leads are responsible for ensuring access works as expected; if not, contact them or attend office hours. The training environment also does not use role-based access, unlike Production Simulation, so everyone has full access there to allow continuity of training.

Q: Can we request additional security rights for Production Simulation users? Is there an inbox for this?

A: Please attend office hours to make this request. Access is based on the permissions/roles provided by county leads; office hours staff can help address requests for additional permissions.

Q: As county admins adjust permissions, will those adjustments be reset whenever a fix/update is uploaded into Production Simulation?

A: Permissions would only reset with a full data load (such as a future Mock 3 load) — not with routine functionality updates. The team is researching how to preserve current Prod Sim permission sets so they can be combined with CWS/CMS permission sets at go-live, with counties verifying before the combined list is uploaded to production.

Q: What exactly are we supposed to be validating in Production Simulation (e.g., case assignments, contact notes)?

A: When conducting validation, the Project asks that you please compare what's in CWS-CARES to what's in CWS/CMS and look for discrepancies. Records should generally match one-for-one except where changes have occurred since the April 17th data snapshot. This includes cases, records, assignments, participants, demographic/person profile info, contacts, and documents.

Q: How many cases does the Project suggest counties validate — is it a sampling?

A: There is no set projection or required number of cases. The guidance provided was in the All County Letter (ACL) issued when Production Simulation first launched; the Project is not prescribing additional specifics beyond that.

Q: Can questions be submitted to be added to the FAQ page, and if so, to whom?

A: If you want to request additions of questions to the FAQs webpage, please route questions through your implementation lead, who will send them through the internal review process for an answer before posting to the FAQ site. The Project is exploring more direct submission options in the future, but this is the current process.
