CWS-CARES Extended User Scenario Testing (EUST) – UPDATE #2

Thank you for your staff’s participation in the CWS-CARES Extended User Scenario Testing (EUST) experience.   
During the February 1st EUST kickoff and in a subsequent email, CWS-CARES leadership shared that the activities originally scheduled to begin on Monday, February 5, 2024 were postponed to a later date.   

The details of the updated activities are listed below. Meeting invitations with these dates have been sent to your staff. Please have your staff contact the CARES project team (CARESPVSTeam@osi.ca.gov) if they are participating in EUST activities and have not yet received session invitations.  

  • Tuesday February 20th - EUST Overview Training (morning and afternoon sessions offered; staff should select only one) 

  • Wednesday February 21st - Scenario Walkthrough 

  • Thursday February 22nd - CARES Basics Training (morning and afternoon sessions offered; staff should select only one) 

  • Wednesday February 21st – Testing begins 

  • Friday March 15th – Testing ends 

Meeting invitations will be scheduled for Office Hours on Mondays, Tuesdays, and Wednesdays during the testing period from February 21st to March 15th.

During the EUST kickoff today, CWS-CARES leadership shared that the activities beginning on Monday, February 5, 2024 are postponed to a later date because of additional stabilization needed in the testing environment.  

Therefore, we are rescheduling the dates for demonstrations, training sessions, virtual office hours, and the overall testing period to ensure that users have an optimal experience to provide their valuable feedback.  

We will provide an update as soon as possible, with a minimum two-week advance notice prior to the new start date of testing activities.

CWS/CMS: CAPDU County Fiscal Letter Presentation at the CDSS Policy Guidance Webinar

All SPOCs, Technical Contacts, and TAC Members:
The California Department of Social Services (CDSS) Child Welfare System Branch will be presenting the upcoming County Annual Planning Document Update (CAPDU) County Fiscal Letter (CFL) during the next CDSS Policy Guidance webinar, scheduled for Thursday, February 8, 2024, from 1:00 PM to 2:30 PM.
The webinar will be recorded and posted to the CDSS website once it is available.

CARES-Live 2.8.28.1 Production Release - UPDATE

All SPOCs and Technical Contacts:

EFFECTIVE JANUARY 29, 2024, CARES-Live 2.8.28.1 RELEASE IS SCHEDULED TO MOVE INTO PRODUCTION
January 29, 2024 UPDATE: The CARES-Live team has developed a hotfix to resolve the issue that is causing an incomplete number of facilities from displaying in the Search Results page. The hotfix will be implemented tonight, January 29, 2024, beginning at 6:00 PM and concluding at 8:00 PM.

The CALS Feature will not be accessible during this change window.

January 26, 2024 UPDATE: The CARES-Live 2.8.28 release was implemented on Thursday, January 25, 2024. During testing of the new release, an issue was discovered that can potentially cause some facilities to not display on the Search Results page.

Preliminary findings show that only a limited number of facilities will be displayed with a broad search using only the ‘County Type’ field without any additional search criteria included.

However, adding additional fields to the search criteria (e.g., adding ‘Facility Type’, ‘Facility Name’, and/or ‘Facility ID’) yields the desired results.

The CARES-Live team is meeting to perform further analysis and to discuss next steps. Additional updates will be shared as soon as new information is received.

The CARES-Live team has scheduled release activity that will interrupt connectivity to the CARES-Live application. The release activity will begin at 6:00 PM on Thursday, January 25, 2024, and conclude at 12:00 Midnight. During this release, the CARES-Live team will focus on application changes, and users will not be able to access the CARES-Live application during this scheduled outage.

CARES-Live 2.8.28:
  • This release address security findings and other infrastructure updates and security patches not visible to CARES-Live users and provides a more accurate recent number of ‘Available Beds’.  Please note the extended outage is required to execute the additional data refresh process to update the ‘Available Number of Beds’ information.

If users experience any issues with CARES-Live, please follow your county process for reporting issues. CARES-Live County Administrators may contact the CARES Service Desk through the CWDS ServiceNow Customer Support Management (CSM) Portal. You may also email after hours and a Service Desk representative will contact you the next business day.

New Section on CWDS County Contacts Page – Director Alternate - UDPATE

All Directors and SPOCS:
January 29, 2024 UPDATE:  The new Director-Alternate section of the County Contacts Page of the CWDS Website has been implemented. As of today, Single Points Of Contacts (SPOCS) are able to update this new section. Attached is the CWDS County Contacts SPOCS can utilize as a reference in updating their county’s contacts.

The CWDS Office is pleased to announce a new section of the County Contacts Page of the CWDS Website. This new section will be implemented on January 29, 2024. After this is implemented, counties will have the ability to add additional contacts for the Director level. This new contact section is called ‘Director-Alternate’. It will be located under the Director tab for both CWS and CARES contacts.

The intent of this new ‘Director-Alternate’ contact is to provide counties the ability to identify contacts that should also receive executive-level communications from the CWDS Project.
On June 20, 2023, a communication was sent to all CWS SPOCs and CARES SPOCs asking for validation of names in the CWS Director area on the CWDS Website County Contact page to ensure that the name listed is indeed your CWS Director. We received responses to this request from fifteen (15) counties with eighteen (18) 'Director-Alternate' contacts. The CWDS Office will add these contacts to the new 'Director-Alternate' section on behalf of those responding counties. If your county did not provide a Director-Alternate contact or needs to make an update, please provide that information on the CWDS Website (https://cwds.ca.gov/county) once this section is implemented on Monday, January 29, 2024.
In order to ensure that future communications reach the appropriate audience, we encourage all counties to review and update as needed the County Contacts page on the CWDS Website at https://cwds.ca.gov/county as soon as possible. Attached is the CWDS County Contacts Page Guide that Single Points of Contacts (SPOCs) can utilize as a reference in updating their county’s contacts.
 
Action Required
After January 29, 2024, add or update contacts to the ‘Director-Alternate’ section as needed. Review and update, as needed, the County Contacts page on the CWDS Website at https://cwds.ca.gov/county. Contact the CWDS Customer Relations team if you have any questions.

CWS/CMS: California Department of Technology Service Desk Bulletin – Citrix NetScaler Firmware Update

ALL SPOCs, Technical Contacts and SBC Administrators:
The California Department of Technology (CDT) has scheduled a firmware update of Citrix NetScaler to correct an identified security vulnerability. The update window will occur on Friday, January 26, 2024, beginning at 8:00 PM and concluding at 10:00 PM.
Server Based Computing (SBC) users are advised to sign out prior to the change. During the update window, SBC users may be kicked out of the system or unable to log in. If users are kicked out of the system, they will need to wait until the update window is completed to sign back in.

Action Required

All users should logoff of Citrix SBC prior to the start of the update window. Contact the IBM Help Desk (800-428-8268) to report any issues with Citrix SBC after the update window has completed.

Business Objects Server Rebooted

All SPOCs, Technical Contacts, and CAD Contacts:
It was observed that Business Objects (BO) applications were found to be unstable again this morning. The cause of the server issue continues to be under investigation.

The BO team restarted BO services this morning at 8:30.

BO applications are stabilizing slowly.   

The BO team is aware of the BO issues and is working on an upgrade to correct the issue. The BO team reached out to the California Department of Technology (CDT) Windows team last week and opened an active case to investigate the server reboot freeze during the weekends.

Action Required
Review scheduled BO reports today and tomorrow morning. Rerun the report jobs, as necessary.

New Page on CWDS Website – CWS-CARES Meeting Matrix

All SPOCs:
The CWDS Office is pleased to announce a new CWS-CARES Meeting Matrix page on the CWDS Website. This new page will be implemented on January 29, 2024 and will allow counties an opportunity to view recurring CARES meetings that the CWDS Project hosts. The Meeting Matrix contains relevant information such as the Meeting Title, Purpose, Frequency as well as which CWDS team facilitates the meeting. The Meeting Matrix will be updated quarterly, or as needed, which will allow counties to have access to up to date CARES meeting information all in a single location. 
Beginning January 29, 2024, visitors to the CWDS Website will be able to access the new CARES Meeting Matrix by following these steps (See screenshots below):
  • From the Stakeholder Resources tab | CWS-CARES Users, then click the CWS-CARES Meeting Matrix link. The user will then be redirected to view the a PDF of the CWS-CARES Meeting Matrix.
  • The CWS-CARES Meeting Matrix will also be available via the search feature on the CWDS Website.
  • Additionally, the Meeting Matrix will be available via the CWDS Events Calendar page. A message will be added to the current CWDS Events Calendar page, this message will include a link to the CWS-CARES Meeting Matrix. The message will be as follows:

Release 9.3 Informational (30-day) Bulletin

The mandatory VB6 version of Release 9.3 will be implemented on Saturday, February 10, 2024.

Coexistent county CWSCMS.MSI file availability:

The CWSCMS.MSI file will be available by Friday, February 2, 2024, for technical staff to begin testing the installation of the release. The code will be located on the CWSDFSr share in the following location:
  •  \CODEDIST\Staging\R93
Perform any necessary testing, but do not install countywide before February 10, 2024. The new release will not work with the database until then.

Dedicated County CWSCMS.MSI file delivery:

By Friday, February 2, 2024, dedicated county users should start seeing the CWSCMS.MSI file copied to their workstations during Windows logon. Technical staff can verify that they have received the file by checking for its presence in the C:\CACW\R93. folder. This file must exist on the workstation for the installation of Release R9.2 to take place on or after February 10, 2024.

Release 9.3 documents are located on the CWDS website. More documents will be added as the release go-live date approaches.
