CAD / Business Objects Server Maintenance Scheduled
The California Department of Technology (CDT), working with the CWDS Team, have scheduled maintenance for the CAD/Business Objects (BO) server. The maintenance window is scheduled for Tuesday, October 25, 2022, beginning at 12:00 noon and concluding at 1:00 PM. There will be a five to ten minute interruption to CAD Business Objects (BO) / Business Intelligence (BI) during the maintenance window.
Any BO reports scheduled to run during this timeframe will not be affected.

Internet Explorer 11 (IE 11) Update

CWS/CMS Training Portal
A few years ago a feature in CWS/CMS application was implemented, allowing users to access the CWS/CMS Training Portal website directly via the Help menu link within the application:

The CWS/CMS application is coded to open the link within the Internet Explorer 11 (IE 11) web browser. IE 11 is out of support from Microsoft. Some county IT support staff may have disabled IE 11 for their users.
If IE 11 is not accessible on the workstation, the link does not perform any action and the user remains in the CWS/CMS application.
Workaround
A workaround for this issue is to open the CWS/CMS Training Portal directly within the preferred web browser. Logging in to the CWS/CMS Training Portal is required to access all of the documents located on the website. If assistance is needed with creating logon credentials for the CWS/CMS Training Portal, there is a How to register on CWS/CMS website video found on the CWS/CMS Training portal landing page.
For counties that still allow access to IE 11, there is no issue with this link. The CWS/CMS Training Portal will open, as expected.
Next Steps
The CWDS Project is still determining the next steps regarding which web browser to use instead of IE 11 and when this change will be implemented.
Citrix Environment
On a separate, but related topic, many production and training sites within Citrix also, currently, open in IE 11. The CWDS Office is working along with the California Department of Technology (CDT) to determine the web browser to replace IE 11.
Action Required
If unable to access the CWS/CMS Training Portal, directly from the CWS/CMS Help menu link, then perform a workaround by opening the preferred web browser and logging in directly to the Training website.

California Department of Education - Updated Providers List – REVISED

On Friday, September 23, 2022, the list of Education Providers in the CWS/CMS application was updated with data obtained from the California Department of Education (CDE). During this update, several Education Providers in the application were end dated. This occurs whenever an existing CWS/CMS Education Provider no longer shows up as an active Education Provider in the data obtained from CDE.
Attached is a list of all closed Public Education Providers and all closed Private Education Providers that were end dated during this update. This information is being provided to assist counties with determining if any data corrections are needed.
Action Required
Review the attached list of closed Education Providers; if the county determines a data correction may be needed, contact the Application Support team at osicwdsAppSupport@osi.ca.gov or Customer Relations.

On Saturday, October 22, 2022, all of the data sets from the County Access to Data (CAD) Business Objects (BO) production repository reports, with data older than three years, will be purged. As previously discussed during the recent CAD User Group meetings, this purge activity will be part of the ongoing effort to maintain the size and performance of the CAD system. Purged reports will still be available and can be refreshed, as required.
If you require a data set to be archived, it is recommended that you save the report as a local Excel or text file prior to the purge date.
This purge activity will be a regular process. In the future, depending on the growth of the repository reports, the purges may take place monthly or quarterly. After evaluating the amount of space recovered by the purge, the data age limit may be reduced from three years to two years.
Action Required
If you require a data set to be archived, it is recommended that you save the report as a local Excel or text file prior to the purge date.

Recommendation- Whitelisting of emails for web applications
Please inform your technical support to whitelist emails from noreply@cwds.ca.gov.
For the Server Based Computing (SBC) and Data Deletion Request (DDR) applications: these web applications will generate emails back to the user when requests are submitted. The emails will come from a noreply@cwds.ca.gov email address. Counties will need to make sure to whitelist that email address to avoid those emails being rejected.

A few updates and workarounds have been developed. These will aid the counties for several of the applications located on the CWS/CMS website in their temporary use before they are permanently moved to the CWDS website by September 1, 2022.
Data Deletion Request (DDR) Application – If a DDR is required, have the person authorized to submit DDRs send a request, via encrypted email, to the DDR mailbox (at cwsddel@osi.ca.gov). Include the following information, at a minimum, in the request:
Move, Add, Change (MAC) Application – For MAC requests (i.e., County requested changes that will affect the CWS/CMS application or network), please complete the MAC Form and email it to the MAC email mailbox (at CWS_MAC@osi.ca.gov).
Documents on the CWS/CMS Website – Please contact Customer Relations (at CWS_CustRel@osi.ca.gov) for any document you would have normally obtained from the CWS/CMS Website and/or behind the County Logon.

Users will need to log in to the CWS/CMS Portals website (self-registration to the website is available) to be able to view the documents. Users connecting directly from the CWS/CMS application’s Help menu will automatically be logged in.
After clicking on the ‘Documents’ link, click on the ‘Application Support’ link, then on the ‘Release 9.1 Documents’ link to locate the documents.
The release documents will still be posted to the CWS/CMS website; however they are also being added to the Training Portal in case the CWS/CMS website is inaccessible.

July 12, 2022 UPDATE: In researching the intermittent issue with the CWS/CMS website, the CWDS Infrastructure Team has decided on a possible solution; the CWS/CMS website’s server will be rebooted. This will cause a temporary outage of the CWS/CMS website while the server is getting back online.
To minimize impact, the server reboot will occur after normal business hours. The reboot will occur tonight at 5:00 PM. The length of time that the website and other resources will be unavailable is unknown; however, it is anticipated to not last more than one hour.

We are receiving reports from multiple counties that the "500-Internal Server Error" is still occurring. There is no ETA on when it will be resolved. July 12, 2022 UPDATE: In researching the intermittent issue with the CWS/CMS website, the CWDS Infrastructure Team has decided on a possible solution; the CWS/CMS website’s server will be rebooted. This will cause a temporary outage of the CWS/CMS website while the server is getting back online.
To minimize impact, the server reboot will occur after normal business hours. The reboot will occur tonight at 5:00 PM. The length of time that the website and other resources will be unavailable is unknown; however, it is anticipated to not last more than one hour.

The CWDS Office is aware of intermittent issues with the CWS/CMS website and is working to resolve them as soon as possible. Reported issues are the bulletins are not showing on both the ‘What’s New’ and the ‘Bulletins’ sections of the website. Also, some people are receiving error messages when trying to log in behind the ‘County Logon’ section of the website.
There have been no reported issues with either the CWDS website or the CWS/CMS Portals website.
There is no current ETA on when the intermittent issues will be resolved. Additional communications will be shared as we receive new updates regarding this issue.
Action Required
Call in a ticket with the IBM Help Desk (800-428-8268) and ask it to be related to Master Ticket #IN11608451 if the stated issues with the CWS/CMS website return.
August 2, 2022 UPDATE: The CWDS Office has received increased reports of issues of users unable to access the County Logon area of the CWS/CMS website. We continue to work on resolving this issue. There is no ETA of when the issue will be resolved or mitigated. We appreciate your patience and will provide updates as the situation continues.
