CARES Compass – Issue 2 – May 2024

CWS/CMS: CDT Service Desk Bulletin - SAFE Cloud Service Scheduled Maintenance

ALL SPOCs, Technical Contacts and CAD Contacts:
The California Department of Technology (CDT) has scheduled maintenance of the SAFE Cloud service. The maintenance begins on Saturday, May 18 2024, at 8:00 PM and concludes on Sunday, May 19, 2024, at 2:00 AM. The activity will cause interruptions in the SAFE Cloud service. Some Business Objects (BO) reports will fail to send, or automated scripts may fail to retrieve from SAFE during this scheduled maintenance.

Action Required
All users should logoff of the SAFE Cloud service prior to the start of the stated maintenance time-frame. Please check on your scheduled BO SAFE reports and automated FTP scripts. If needed, re-run the reports and scripts.
 
Contact the IBM Help Desk (800-428-8268) to report any issues with your Business Objects content in SAFE.

CARES-Live Scheduled Maintenance - April 25, 2024 | 6 PM - 9 PM

All SPOCs and Technical Contacts:
The CARES-Live team has scheduled maintenance for the CARES-Live application. The maintenance is scheduled for Thursday, April 25, 2024, from 6:00 PM to 9:00 PM. During this scheduled maintenance the CARES-Live team will focus on application maintenance changes that are not visible to CARES-Live users.
NOTE: Users will not be able to access the CARES-Live application during the scheduled outage.
 
Action Required
If users experience any issues with CARES-Live, please follow your county process for reporting issues. CARES-Live County Administrators may contact the CARES Service Desk through the CWDS ServiceNow Customer Support Management (CSM) Portal. Alternate methods are phoning 1-855-292-3444 or via email at Servicedesk@cwds.ca.gov during normal business hours. You may also email after hours and a Service Desk representative will contact you the next business day.

CWS/CMS LIS Placement Facility Type – Foster Family Agency Certified Resource Family Home

All CWS/CMS SPOCs and Technical Contacts:
It has come to the attention of the CWDS Project that Facility Type 'Resource Family Home,' received from LIS, is displaying as 'Foster Family Agency Certified Resource Family Home' in CWS/CMS.

The CWDS Project is now working with the California Department of Social Services (CDSS) partners that manage LIS to research and understand the impact.

We will provide additional updates in the future as more information becomes available.

CWS/CMS: CAD / Business Objects Server Maintenance Scheduled - REMINDER - April 14, 2024 | 8 AM - 1 PM

All SPOCs, Technical Contacts, and CAD Contacts:
April 11, 2024 UPDATE: The CAD/Business Objects (BO) server maintenance window is scheduled for Sunday, April 14, 2024, beginning at 8:00 AM and concluding at 1:00 PM. CAD Business Objects (BO) / Business Intelligence (BI) will not be accessible during the maintenance window.
Any BO reports scheduled to run during this timeframe will be affected.

March 28, 2024 UPDATE: The CAD/Business Objects (BO) server maintenance has been rescheduled to the following week. The maintenance window is now scheduled for Sunday, April 14, 2024, beginning at 8:00 AM and concluding at 1:00 PM. CAD Business Objects (BO) / Business Intelligence (BI) will not be accessible during the maintenance window.
Any BO reports scheduled to run during this timeframe will be affected.

The maintenance window is scheduled for Sunday, April 7, 2024, beginning at 8:00 AM and concluding at 1:00 PM. CAD Business Objects (BO) / Business Intelligence (BI) will not be accessible during the maintenance window.
Any BO reports scheduled to run during this timeframe will be affected.
 
Action Required
Review scheduled BO reports and rerun the report jobs, as necessary.

CWS-CARES Scheduled Maintenance - April 20, 2024 | 9 AM - 10 AM

All Pilot County RFA Implementation Coordinators and SPOCs:
The CWS-CARES team has scheduled maintenance activity for the CWS-CARES production environment for Saturday, April 20, 2024, beginning at 9:00 AM and concluding at 10:00 AM. During the maintenance window, the CWS-CARES Resource Family Approval (RFA) Application Submission, Review, and Approval Process will be accessible for pilot counties Contra Costa, Fresno, Placer, and Santa Clara.

During the maintenance window, Tableau Online in the CARES application will not be accessible.
 
Action Required
No action required for end-users is needed during this maintenance window.

CWS/CMS: CDT Service Desk Bulletin – SBCS Infrastructure Servers Security Patching - April 27, 2024 | 6 AM - 10 AM

All SPOCs, Technical Contacts, and SBC Administrators:
The California Department of Technology (CDT) has scheduled maintenance on Saturday, April 27, 2024, beginning at 6:00 AM and concluding at 10:00 AM.  During the maintenance window, CDT will apply Standard Monthly OS Security Patches to SBCS Infrastructure Servers. There is no anticipated outage for this maintenance; however, CDT is asking that everyone log off from the Citrix SBC system, if not actively using it during the maintenance window.

CWS/CMS: Important steps when opening a Secure Automated File Exchange (SAFE) Ticket

All SPOCs and Technical Contacts:
We want to provide some important reminders when calling the IBM Help Desk to open a SAFE ticket. 
  • Please provide a phone number, such as a mobile number, where an Operations Team member assigned to those SAFE tickets can reach the person directly or immediately
  • Please do not provide a desk phone number if that is not the best number to reach the contact person. 
The Operations team's goal is to resolve tickets promptly, and this can best be achieved with a direct phone contact rather than an email resolution.

Additionally, when the Operations Team member is working with the customer, they will ask them if your County has Business Objects (BO) reports that have been set to run overnight.
If yes, please follow these steps:
  • Immediately change the temporary SAFE password to a permanent one. 
  • The user will then need to authenticate into their BO Admin Tool and sync this tool with their (permanent) SAFE password.
NOTE: This process must be carried out by the close of business the day the SAFE password is changed. Failure to complete this step will freeze the automated reports and prevent them from running overnight.

CARES-Live Facility Search Result – License Status

All SPOCs and Technical Contacts:
The CWDS project identified and corrected an issue in Facility Search within the CARES-Live Application. The Facility License status on the search results page displayed an outdated License Status. This issue was reported to the Project Office on April 8, 2024. After investigating the issue it was discovered it started on April 3, 2024.
 

On April 8, 2024, the CARES-Live team completed their investigation and took the necessary measures to resolve this discrepancy.

Action Required
At this time we request counties recheck Facility License Statuses that may have been reviewed between April 3rd and April 8th, using Facility Search in the CARES-Live Application.
