California Department of Technology Service Desk Bulletin – CalCloud Windows Tenant Patching- February 26-27, 2021| 7:00 PM – 6:00 AM

County CWS and Probation SPOCs and Technical Contacts:
The California Department of Technology (CDT) has scheduled security patching of the CalCloud Windows servers.  The patching window begins on Friday, February 26, 2021, at 7:00 PM and concludes on Saturday, February 27, 2021, at 06:00 AM.  The patching activity will cause intermittent interruptions in connectivity to the CWDS website (https://cwds.ca.gov), the CWS/CMS website (https://www.hwcws.cahwnet.gov/) and the CWS/CMS Portals website (https://cwscms.osi.ca.gov/) during the patching window.

CARES-Live 2.8.11 Production Release- February 25, 2021| 6:00 PM – 11:00 PM

SPOCs and Technical Contacts:
EFFECTIVE February 25, 2021 CARES-Live 2.8.11 RELEASE IS SCHEDULED TO MOVE INTO PRODUCTION.
The CARES-Live team has scheduled release activity that will interrupt connectivity to the CARES-Live application. The release activity will begin at 06:00PM on Thursday, February 25, 2021 and conclude at 11:00PM. During this scheduled outage users will not be able to access the CARES-Live application.
CARES-Live 2.8.11:
The goal of this release is to provide fixes and maintenance needed in Child and Adolescent Needs and Strengths (CANS) and Identity Management.
CANS
  • County Transfer – The issue identified when a CWS/CMS case transfer takes place from one county to another and that transfer was not syncing up in CANS has been resolved (Ticket #INC0019321).  The system now allows for CANS to be transferred across counties.
  • CANS Reassessment List - The sort order for the CANS Reassessment list has been corrected to resolve the issue identified in Ticket #INC0019661 where all rows were not sorting for Reassessments Due and Past Due.
Identity Management
  • Forgot your Password - The “Forgot your password?” link on the CARES-Live Login page has been changed to “Forgot/Reset Your Password?” to more clearly identify the password actions the link supports.

CWS-CARES Core County Kick-Off Meeting Materials Posted

CWS and Probation SPOCs:
The CWDS Comms Team has posted materials from the CWS-CARES Core County Kick-Off meeting on January 28, 2021. You can find these materials on the CWDS website (https://cwds.ca.gov/). These materials include Recently Asked Questions (RAQs) (https://cwds.ca.gov/QandA) and the CWS-CARES Service Areas and Assigned Core Constituents (https://cwds.ca.gov/cws_cares_service_areas).
Although not presented during the kick-off meeting, also posted to the CWDS website and of great interest to the counties, is the updated CWDS Roadmap (https://cwds.ca.gov/project_roadmap). 
Review and share these materials when you have an opportunity.

Review the CWS-CARES Core County Kick-Off meeting materials and other CWS-CARES documentation and share them with county staff.

 

CWDS Events/Maintenance Calendar

CWS and Probation SPOCs and Technical Contacts:
The daily CDSS LIS server maintenance has been added to the CWDS calendar (https://cwds.ca.gov/events).  During each day’s scheduled maintenance users may experience connectivity issues impacting CARES-Live Facility Search.

Review the CWDS Calendar (https://cwds.ca.gov/events) for CWS/CMS and CARES-Live events and maintenance.

 

Data Quality Fuzzy Reports Available

County CWS SPOCs and Data Quality Analysts:
The latest versions of Data Quality Fuzzy Reports for Clients, Placement Homes, and Substitute Care Providers (SCPs) are now available.  These Fuzzy Reports assist with data cleanup by providing a greater number of potential duplication matches, using “fuzzy” matching criteria, than would be possible on the more restricted results on the semi-annual merge reports.  Additional information on CWS/CMS data cleansing activities and benefits, including Fuzzy Reports, is found on the Data Quality Portal located at https://cwscms.osi.ca.gov/Portal/CWS-Data-Quality-Portal/Data-Cleansing.
To help the Data Quality team keep track of Fuzzy Report requests, a simple online request form has been developed. The Data Quality Fuzzy Reports Request Online Form is located at https://cwscms.osi.ca.gov/Portal/CWS-Data-Quality-Portal/Data-Cleansing/Fuzzy-Reports.

Action Required

CARES-Live Training Environment Scheduled Maintenance January 29, 2021| 1:00 PM – 5:00 PM

All CWS and Probation SPOCs and Training Contacts:
The CARES-Live team has scheduled maintenance to the CARES-Live Training Environment on Friday, January 29, 2021 from 1:00 PM to 5:00 PM. Users will not be able to access the CARES-Live Training Environment during the scheduled outage.

California Department of Technology Service Desk Bulletin - CGEN Vendor AT&T Scheduled Maintenance January 30-31, 2021| 9:00 PM – 5:00 AM

CWS SPOCs and Technical Contacts in Santa Cruz and Tulare Counties:
The California Department of Technology (CDT) has scheduled maintenance, beginning on Saturday, January 30, 2021, at 9:00 PM, and concluding on Sunday, January 31, 2021, at 5:00 AM.  Users at the listed sites will experience an interruption in connectivity to CWS/CMS and CARES-Live for up to twenty-five minutes within the scheduled Preventative Maintenance (PM) window.
Remote access (e.g., Server Based Computing [SBC]) to the CWS/CMS application will not be impacted by this scheduled maintenance.

The California Department of Technology (CDT) has scheduled maintenance to replace the CalCloud firewall.  The maintenance window is scheduled for Sunday, February 7, 2021, beginning at 5:00 AM and concluding at 8:00 AM.  The firewall replacement activity will cause a 15-minute interruption in connectivity to the CWDS website (https://cwds.ca.gov), the CWS/CMS website (https://www.hwcws.cahwnet.gov/) and the CWS/CMS Portals website (https://cwscms.osi.ca.gov/) during the maintenance window.  The CWS/CMS and CARES-Live applications will not be impacted.

California Department of Technology Service Desk Bulletin - CGEN Vendor Verizon Scheduled Maintenance March 13-14, 2021| 8:00 AM – 12:00 AM

CWS SPOCs and Technical Contacts in San Bernardino County:
The California Department of Technology (CDT) has scheduled maintenance, beginning on Saturday, March 13, 2021, at 8:00 AM and concluding on Sunday, March 14, 2021, at 12:00 midnight.  Users at the listed site will experience a one-minute interruption in connectivity to CWS/CMS and CARES-Live within the scheduled Preventative Maintenance (PM) window.
Remote access (e.g., Server Based Computing [SBC]) to the CWS/CMS application will not be impacted by this scheduled maintenance.

Open CANS Assessments for Closed CWS/CMS Cases

CARES SPOCs:
A known issue has been identified that some CANS Assessments that have an “In Progress” status have been found to exist even though the CWS/CMS case is closed.  In the event that a CANS assessment is “In Progress” when a child welfare case is being closed in CWS/CMS, it is highly recommended that the caseworker login into the CARES system and “Complete” the CANS Assessment.  A CANS assessment left “In Progress” may lead to future data quality issues such as inadvertent modification of the CANS or incorrect reporting numbers.
Action Required
Review the attached Job Aid entitled Add, Edit, and Delete a CANS Assessment Job Aid that is located on the Implementation Portal/Learning on Demand/Job Aids (https://cwscms.osi.ca.gov/Portal/Digital-Services-Implementation-Portal/Guides#top) that will assist in this effort.
